Why is my personal information being requested?
RCS is committed to protecting your personal information and making every effort to ensure that your personal information is processed in a fair, open and transparent manner.
We are a “data controller” for the purposes of the Data Protection Act 2018 and the EU General Data Protection Regulation 2016 (“Data Protection Law”). This means that we are responsible for the processing of your personal information.
We ask for the minimum of information we need to be able to deliver our contracted services and draw down funding to support you. We also collect personal data from job applicants in order to carry out our recruitment and selection processes.
We handle and store your personal information in line with data protection law.
When we record and use your personal information we:
- only access it when we have a good reason
- only share what is necessary and relevant
- don’t sell it to anyone
What personal information does RCS collect?
The information we collect and store will depend on which of our services you are accessing.
We’ll only ask for information that’s relevant. Depending on what you want help with, this might include:
- your name and contact details – so we can keep in touch with you about your case
- details of your employment, eg (name of employer, occupation, number of hours worked, contact details)
- details about your health and any support you may be receiving
- details about other relevant issues – such as your financial circumstances
- monitoring information like your gender, ethnicity or sexual orientation
Some questions allow you the option to not disclose specific information.
Depending on which of our services you are accessing, we may also need to gather specific information as evidence of your eligibility to access the support.
If you are applying for a job with RCS, we will collect the following information:
- personal details (name, address, contact details)
- employment and training history
- previous employment details (name of employer, occupation, number of hours worked, contact details)
What is my personal information used for?
The main reason we collect your personal information is to provide you with effective support.
This may include
- Checking you are eligible for our services
- Being able to stay in contact with you while you receive support
- Making referrals to stakeholders or partners to deliver services to you
- Keeping details about the support you are receiving
We only access your information for other reasons if we really need to – for example:
- for training and quality purposes
- to investigate complaints
- to get feedback from you about our services
- to help us improve our services
Do you share my personal information with other organisations?
We may need to share your information with other organisations involved in your support, for example:
- Referring you for a health therapy with one of our providers
- Helping you gain rapid access to specialist support or advice from one of our partner organisations where relevant eg financial advice
- Some government funded programmes require us to share client data for auditing purposes – if this applies to you, we will inform you as part of the registration process.
Organisations we share your data with must store and use your information in line with data protection law. They’ll have their own privacy policies for how they handle your information and keep it safe.
We will not pass on your personal details to anyone else without your explicit consent except in exceptional circumstances. Examples of this might include anyone reporting serious self-harm or posing a threat to others.
RCS will share job applicant data with internal staff involved in the recruitment process and external referees as appropriate.
Statistical information
We use some information to create statistical reports about how many people we are helping and to demonstrate the difference our service is making. It will not be possible to identify you from this information.
We may share this statistical information with funders, government departments and publicly on our social media and press releases. The information is also used to inform our future service development.
How is my personal information kept secure?
RCS has secure systems and processes in place to ensure the safe storage and transfer of personal data and is fully compliant with GDPR.
All our staff receive data protection training to make sure your information is handled sensitively and securely.
How long will my personal data be kept for?
Personal information is stored for 6 years or for as long as our funding bodies require us to keep it, whichever is the longer. After that time, your data will be securely destroyed.
Job applicant data is kept for 6 months following the closure of an advert. After that a log of applicants will be kept and all other personal data deleted securely.
What are my rights?
You can contact us at any time and ask us:
- what information we’ve stored about you
- to change or update your details
- to delete your details from our records
If you would like to make such a request, please notify us in writing for the attention of RCS Head of Operations as the address below and allow 30 days for a response.
If you have a concern about the personal data collected or the way in which it was collected, you can raise this with the Information Commissioners Office. Their website is https://www.ico.org.uk.
